It is important for both Administrators and Teachers to be aware of the license status of all students. If a student does not have an valid license assigned to them for a program, they will be unable to log in and use the program both in school and at home. Administrators and Teachers should also be aware of the students’ status for home use, which can reinforce classroom learning and counts towards your usage goals.
Students’ license status and home access account status are both displayed on the Educator Center’s Active Students page, which also allows you to filter the list to find any status you want and then manage the relevant students, such as assigning licenses to students without a valid license or sending invitations to families who have yet to set up a home account.
License Statuses Explained
Unassigned / Blank: If you see a blank space for the student in any of the program columns, it means the student does not have a license assigned, or their access has been revoked, and will not be able to use that program. The Unassigned student will not appear on the Teacher’s Class Login page until licensed for the product, and if the student tries to log in to the program via QR code or an SSO like Clever or ClassLink, they will get a log-in error.
Assigned: The student has access to the product and will appear on the teacher’s Class Login page. Note: Having an Assigned status means that the student can use the product at school, but it indicates the student and family have yet to be invited to set up an account for use at home.
Invited: An Administrator and/or Teacher has sent a product activation invitation via email, phone or has printed it, so that students can use the programs at home and parents or caregivers can monitor their child’s activity on the Caregiver Center. You can't Invite a family unless there has been a product license assigned to the student, so all students listed with the Invited status are also Assigned.
Redeemed: A family has successfully redeemed their unique account activation code, created a Caregiver Center account, and now as access to use all licensed programs from home. All students listed with the Redeemed status are also Assigned.
Expired: The student’s license is no longer valid, and the student must be assigned a new license or licenses if they need to continue to use the program(s). An Expired license status means the student will not be able to log in to the program both in school and at home.
Managing Students by License Status
- From the Educator Center, click the Accounts menu and select Manage and Students from the drop-down menu.
- The Active Students page displays rows of information for all the active students you are assigned to see. This information includes each student’s license and invitation redemption status for My Math Academy, My Reading Academy, and Reading Academy Español. Just above the list of students, you can click the Show Filters link if you want to find all the students with a particular status.
- You should now see seven filter options above the list of Students. Click the one that says Select License Status and choose one of the options, such as Unassigned or Expired if you are looking for students who need attention.
- You can use other filters at the same time, such as Grade Level, if you are trying to narrow the results more. The following shows the results of filtering by Expired license status for only 1st grade students.
- If you have searched for students without a valid license (either Unassigned or Expired), you will likely want to assign them licenses right away. From the results of your filter, you can click the to Select All checkbox to select all the students, and then Click the blue Bulk Actions button and select Assign Licenses from the drop-down menu.
- You will now see a pop-up asking you to select which program licenses you want to assign. Click the radio button for each program you want students to have access to.
- Once you refresh/reload the page, those students should now have the status of Assigned. You can use the same License filter to find them, along with other Assigned students. You can then click the Bulk Actions menu (as shown in step 5 above) and select Send Student Invitation to send an account activation email to their families.
