Assigning a license to a student grants complete access to the Age of Learning program associated with the license, such as My Math Academy, My Reading Academy, or My Reading Academy Español.
🔔 New: Automatic Licensing:
Most students no longer need to be licensed manually!
The default process for most new districts is that students are automatically licensed when added via the following roster methods (but not manual):
Clever or ClassLink sync
SFTP upload
CSV upload in the Educator Center
- Manual addition in the Educator Center
Please note: Not all organizations have auto-licensing set up for multiple reasons. For example, they may only have 100 MMA licenses but have 400 MRA licenses. In this case we would be able to auto-license the larger number of MRA licenses, but NOT the smaller number MMA licenses. Auto-licensing will occur overnight after students have been added to the roster.
When Do I Need to Assign a License?
You only need to assign a license manually if the student was:
Previously archived and has now been restored (depending on district settings)
Not included in a recent roster upload or sync
If the student was rostered via Clever, ClassLink, SFTP, or CSV file upload, they were licensed automatically.
- Teachers do not get licenses assigned to them, but they need to have students with valid licenses assigned to their class in order to access the programs.
- Admins don't get licenses assigned to them either and only get access to the Educator Center, not the other programs.
Top-level Administrators can assign licenses to any students who haven't been auto-licensed by following the steps outlined below. These Admins can also distribute licenses to other Admins and Teachers to allow them to help with the assignment of licenses. Once licenses have been given to lower levels of the organization, School Admins and Teachers can assign licenses to Students, too. Teachers should contact their program administrator if they need licenses distributed to them.
License Timing: Please be aware that due to system caching licenses may take up to 4 hours to become active for the student(s) assigned.
Assigning Licenses to Multiple Students
-
Log in to your Educator Center account.
-
At the top of your screen, click on Accounts, and then select Manage and Students from the drop-down.
- License statuses are displayed for each student, but if you would like to focus your search, click the Show Filters link on the left side, click the Select License Status tab on the right, and select Unassigned (or Expired). That way you can focus on only the students who still need to have a license assigned manually.
- Click the checkbox next to the name of each student you’d like to license (or click the very top checkbox to select all students).
Then click the Bulk Action menu on the right side of the page and select Assign Licenses from the drop-down list.
- Choose the product license or licenses available and click the Assign Licenses button.
If no licenses are listed to assign, it is likely they have not yet been distributed to your site. We recommend contacting your organization’s Age of Learning administrator for additional assistance.
Timing Reminder: While you have now assigned the licenses, they may take up to 4 hours to be activated for the students within our systems, so they may need to wait to access programs you just assigned.
Assigning Licenses to a Single Student
You can assign a single student a license using the Bulk Actions method described above, but some Teachers like to do it from the Student Info page to review other student information at the same time.
-
Log in to your Educator Center account.
-
At the top of your screen, click on Accounts, and then select Manage and Students from the drop-down.
- Click on the name of the student you’d like to license.
- On the Student Info page, scroll down to the Products section at the bottom and click +Assign Licenses.
- A new window will pop up, where you will click the Select radio button for any product licenses that are available. This Student in our demo account already had My Math Academy, so we are clicking to give her a My Reading Academy license, as well. Then click the blue Assign Licenses button at the bottom.
- You should now see the license you added for this Student. If you don’t see it, you may need to refresh the page.
Timing Reminder: While you have now assigned the licenses, they may take up to 4 hours to be activated for the student within our systems, so they may need to wait to access programs you just assigned.
