Students, teachers and groups can now be archived and restored directly through the Educator Center. Each user status is visible on all sections as two unique tabs:
There are 3 statuses that a user's account can fall under:
- Active: Teachers and students can access products based on their license and redemption status.
- Archived: Teachers and students no longer have access to a product but can be restored by an administrator. Once restored, they will continue to have their previous product history and redemption status.
- Deleted: Users are fully removed from the Educator Center and can no longer be restored by administrators. If the user is re-added with their email or ID, they will be treated as a new user.
Note: Administrators cannot be archived at this time, they can only be deleted.
Archiving Users
Teachers, students and groups can all be can be archived through the Educator Center. If a student is archived, any license assigned to that user will be revoked and then re-added to the organization license total.
Roster Method | How to Archive |
Manual Rostering | Open the individual's user information and select "Archive". |
CSV Upload | Select "Replace Entire Roster" as your roster upload method and exclude any rows containing the data you'd like to remove. |
Clever, Classlink or SFTP Upload | Exclude the data that should be archived from your data source. All uploads through these methods are "Replace Entire Roster" uploads. |
Archiving Groups: When archiving groups, all subgroups associated with it will be archived as well, but teachers and students will remain active.
For example, if you archive a school, the classes associated with that school will also be archived, but the students and teachers will remain active. If students previously redeemed home access for the products, they will still be able to access their accounts.
Viewing Archived Records
Once a record is archived, it will be visible in the "Archived" section of it's group, along with the archived date. For example, Archived Students are found in the Student section while Archived Classes are in the Classes section.
Selecting an individual record from this list, will provide full roster details which can be used to restore the information in the future.
